The challenges faced by Age Concern Norfolk were typical to multi-site organisations whose IT infrastructure has evolved incrementally. “We had six sites, all working independently,” explains Caroline Murdoch, Development Manager – Information and Administration. “Each site had its own PC or mini-network, with its own approach to data storage and backup. As a result, we had no consistency or effective information sharing.”
Issues were mounting up, with more and more valuable staff time being spent on working round the limitations of ageing equipment. “We were trying to find fixes that allowed people to do their jobs, while also dealing with technical problems,” says Caroline. “We also had issues with diary double-bookings. Problems were coming at us from all sides!”
Age Concern Norfolk needed a new solution that would bring all its sites together. “We needed to be able to share all our data across sites, with a central backup managed by one person,” says Caroline. “We also needed to be linked up, with better email and diary management.”
Onyx’s proposal for Age Concern Norfolk touched on several areas. First, it put forward a solution for centralised data storage, backup and security (anti-virus and anti-spyware functionality). Email, calendar and document management were to be integrated across the entire organisation, and the charity’s infrastructure would be renewed with new workstations and a new server. All these points were set out in a detailed written proposal.
